Scope of Work: Works closely with the manager to provide administrative support in an effective and efficient manner.

Responsibilities:

  • Producing documents, briefing papers, reports and presentations.
  • Maintain confidential records and files.
  • Screening phone calls, inquiries and requests, and handling them when appropriate.
  • Organizing and maintaining diaries and making appointments.
  • Dealing with incoming email, faxes and post, often corresponding on behalf of the manager.
  • Taking dictation and minutes.
  • Organizing meetings and ensuring the manager is well prepared for meetings.
  • Liaising with clients, other related parties, and other staff.
  • Arranging travel, visas and accommodation.
  • Perform other related duties as required.

Knowledge, skills and abilities:

  • Experienced in producing documents, briefing papers, reports and presentations.
  • Detail oriented, and creative.
  • Very Organized
  • Excellent customer service skills.
  • Excellent professional attitude.
  • Excellent computer skills required with Microsoft Word, Excel, PowerPoint, and Outlook.
  • Excellent/Advanced written/oral communications skills in English. Arabic is a plus but not required.
  • Intermediate mathematics/bookkeeping skills.
  • Intermediate Social Media skills.
  • Must be able to multi-task, work under time constraints, provide quality work and make independent decisions daily.
  • Confidentiality and critical thinking a must.
  • Strong computer and keyboarding skills.

Education/Experience:

  • University/College Degree in office administration or related field required.
  • Minimum of 2 years experience as administrative assistant or position of similar responsibility required.
  • Diploma in insurance and/or engineering fields can also apply without prior experience.
